The Position
HOPE is seeking a Human Resources and Finance Assistant who will be responsible for
assisting with the maintenance of our HRIS system, office operations, and select finance tasks.
The position reports to the Director of Human Resources and Operations. This is a hybrid
position, working out of HOPE’s Downtown Brooklyn location at 1 Smith Street at least three
times a week. The position, under the direction of the Director of Human Resources and
Operations, will help to achieve organizational goals, and efficiency within the department.
Responsibilities
Human Resources
● Manage all aspects of the HRIS system (Paycom).
● Maintain Paycom Talent Management system, which includes posting open positions.
● Maintain internal documents.
● Participate in employee lifecycle management.

Human Resources and Finance Assistant

● Run payroll in the absence of the Director of Human Resources and Operations.
Operations
● Assist the Director of HR and Operations in maintaining the office environment.
Finance
● Manage government grants process including updating variance reports with actuals
and refine projections, compile reimbursement claims and follow up with government
agencies to ensure timely payments, book government grant revenues and and apply
cash receipts accordingly in the accounting system, review AR aging weekly and follow
up on outstanding payments.
● Help ensure a smooth payables process by assisting with purchase orders (PO),
entering vendor bills with appropriate department/program/grant allocations, matching
them to existing purchase orders.
● Record and reconcile credit card expenses.
● Make reclassification entries as necessary.
● Upload bank activities in the accounting system and perform bank reconciliations.
● Maintain bank deposit and discrepancy spreadsheet.
Other projects and related tasks as assigned.
Qualifications
● Experience in Human Resources is preferred.
● Experience with government grant management is preferred.
● Knowledge of HRIS and accounting systems; Paycom and NetSuite exposure is a plus.
● Attention to detail.
● Google platform experience.
● Proficiency in Microsoft Office, especially Microsoft Excel.
● Able to adapt and adjust based on organizational needs.
● Effective written and verbal communication skills.
● Ability to maintain confidentiality.

Salary and Benefits
The annual salary range for this position is $50,000 to 60,000 and is dependent upon
experience. HOPE provides a full package of benefits including: healthcare and dental
insurance; retirement plan; competitive vacation (plus half-day Fridays during the summer
which is equal to 7.5 additional vacation days); and 12 paid holidays.
