Human Resources and Finance Assistant

The Position
HOPE is seeking a Part-time Human Resources and Finance Assistant who will be responsible
for assisting with the maintenance of our HRIS system and monitoring expenses. The position
reports to the Director of Human Resources and Operations. This is a hybrid position, working
out of HOPE’s Downtown Brooklyn / South Bronx location at 1 Smith Street / 1360 Garrison
Avenue three times a week that will not exceed 20 hours per week. The position, under the
direction of the Director of Human Resources and Operations, will help to achieve
organizational goals, and efficiency within the department.
Responsibilities
Human Resources:
● Manage all aspects of the HRIS system (Paycom).
● Maintain Paycom Talent Management system, which includes posting open positions.
● Ensure all job descriptions are in most current format, reflecting HOPE’s standard

language, and are free of grammatical or other errors.
● Screen candidates for hiring managers and work with the Director of Human
Resources and Operations to determine next steps for candidates.
● Assist Director of Human Resources and Operations with following up with candidates
and or hiring managers.
● Ensure new employees are properly set up in Paycom, required documentation is
collected and saved in the employee’s electronic file.
● Assist in the proper documentation when employees are offboarded.
● Run payroll in the absence of the Director of Human Resources and Operations.
● Maintain employee files.
● Respond to all employment verification requests.
● Complete all HR related data requests.
● In coordination with the Director of Human Resources and Operations develop
manuals and best practices to share with employees.
● Respond to requests for audit backup documentation.
Operations:
● Assist with credit card reconciliation.
● Aid Government Grants Department with reporting and data gathering.
● In collaboration with the Senior Finance Manager, update internal documents.
● Provide general support for Finance.
● Assist in the distribution and inventory tracking of technology for clients and staff.
● Catalog and respond to staff inquiries on office environment including heating, cooling,
furniture and/or equipment needs, and liaison with appropriate parties to resolve
issues presented.
● Manage access to office buildings by creating and constantly updating a list of
key holders and access codes; respond to alarm company inquiries; ensure
proper access level is in place during staff transitions.
● Manage copier access.
● Periodically review the email distribution list to ensure it remains current.
● Help manage the phone system by coordinating with the IT service provider
requests for new licenses and repurpose of lines of outgoing staff.
Other projects and related tasks as assigned.
Minimum Qualifications
● Experience in Human Resources is required; exposure to Finance is preferred.
● Knowledge of HRIS systems; Paycom exposure is a plus.
● Google platform experience.
● Able to adapt and adjust based on organizational needs.

Salary/Benefits
The hourly range for this position is $20-$25 and is dependent upon experience.
