ABOUT THE ORGANIZATION A pioneering not-for-profit affordable housing developer and community programs initiator in New York City, Settlement Housing Fund, Inc. has worked since 1969 to create more than 8,700 apartments through 64 affordable rental and homeownership development projects. Settlement Housing Fund presently owns and maintains 36 buildings containing 1,979 apartments in various locations, with concentrations of housing and programs in the Mt. Eden section of the Bronx, Crown Heights, Brooklyn, the Two Bridges neighborhood on the Lower East Side, as well as at other sites throughout Manhattan. We expect that our portfolio will continue to grow. Settlement Housing Fund is equally committed to bringing amenities, programs and services to communities we serve through the development and operation of affordable housing. Settlement Housing Fund is the parent organization of The Crenulated Company, LTD dba New Settlement which was created in 1989 with the acquisition of 14 abandoned buildings from the City of New York. New Settlement has evolved into a robust social service organization offering a range of community-based services in education, college access, youth development, arts, workforce development, community organizing, wellness and other key services that provide important resources to the neighborhood’s youth and families. New Settlement’s success has been achieved through close collaboration with a wide range of educational institutions, housing and community development organizations, businesses, youth development and social service agencies – in the neighborhood, Bronx-wide, across New York and nationally. The programs at New Settlement are supported by local, state and federal government agencies, as well as foundations, corporations, organizations and individuals.  
DESCRIPTION JOB SUMMARY: Reporting to the Program Director, the Data / Office Manager oversees all administrative and office management functions of the New Settlement YouthBuild Program. The program serves young adults between the ages of 17-24 with barriers to education and employment. In addition to handling administrative functions, the Data / Office Manager is responsible for handling student payroll, office administration and the handling of data.Job Duties include but not limited to:Supports and enhances a culture that respects and honors diversity, invests in professional development and encourages self-care.Oversees the intake and student application process, this includes but is not limited to: greeting candidates and providing program information, capturing and tracking applications, conducting preliminary intake interviews and verifying student eligibility.Manages all databases – DataYB, MIS, Portal plus internal spreadsheets.Manages student file compliance.Monitors student attendance and performance, maintains records and data.Oversees completion and processing of all W9’s.Provides monthly data reports to Program Manager and Director of YouthBuild programs.Tracks student and staff timesheets and submits both for payroll.Manages program schedules.Acts as liaison with main office regarding administrative matters, incident reports and building management issues.Orders program supplies and goods and maintain inventory.Enters information on student’s attendance, activities, scores, and outcomes into spreadsheets and other data software as required by New Settlement YouthBuild and its funding sources.Assists with correspondence, filing, phone answering, copying and scanning.Conducts outreach and program marketing as part of the YouthBuild team.Acts with discretion.Perform other duties as reasonably requested.QUALIFICATIONS & EXPERIENCE:Ability to relate to persons of diverse backgroundsAssociate degree or three years of experience in a related fieldPrevious experience working with youth in a community-based setting, using a positive youth development modelMust be a professional and able to show discretion in maintaining student and staff confidentialityStrong commitment to helping young people succeed in an innovative training program to reorient their lives, nurture their leadership skills, and enable them to make a difference in their communityDemonstrated ability to connect with and be sensitive to persons with criminal court involvementExperience developing administrative systems is preferredExcellent oral and written communication as well as presentation skillsStrong organizational skills- must be detail orientedSense of humor and nonjudgmental attitudeAbility to work as part of a team and multi-taskAbility to work some evenings and weekendsBi-lingual: English and Spanish preferredPHYSICAL DEMANDS AND WORK ENVIRONMENT:Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
