JOB TITLE: Administrative Assistant – Chance for Change/Chance to Connect
ABOUT THE PROGRAMS: Chance for Change (CFC), a small not-for-profit OASAS (part 822) licensed outpatient treatment program, provides treatment primarily for homeless adults living with the challenges of substance use disorders. Our clinic and “harm reduction” model connect with each individual’s desire to change in a collaborative, respectful and empathic environment. Individual and group therapy sessions focus not only on sobriety but also on helping our clients manage other life areas such as mental illness, chronic medical conditions, homelessness, unemployment and other life stressors.
Chance to Connect (CTC), based in the space adjacent to CFC, is a new program providing resources and personalized services to unhoused, service-resistant New Yorkers referred from local dinner programs. CTC will also offer refreshments, essential supplies, WiFi access and group activities for guests and CFC clients.
REPORTS TO: Program Directors – Chance to Connect/Chance for Change
BASIC FUNCTION: Administrative Assistant (AA) is responsible for providing clerical and administrative support to the Program Directors and all members of the facility’s staff as needed, and hospitality for clients. AA will also assist with set-up and launch of Chance to Connect.
RESPONSIBILITIES:
· Greet and direct clients and visitors.
· Receive and direct all incoming phone calls
· Open, sort, log and route incoming mail
· Handle correspondence for programs.
· Assist with program marketing and outreach, including researching and developing contact lists
· Assist in preparing periodic internal and external reports.
· Organize paperwork and required documentation in accessible filing systems
· Order and maintain an adequate inventory of office and program
· Assist with hospitality, including serving coffee and refreshments and preparing and serving weekly lunch.
· Assist clients in accessing clothing, snacks, toiletries and other items
· Work cooperatively with staff at all levels to ensure quality service provision.
· Other duties as assigned
QUALIFICATIONS:
· Associates Degree or greater.
· A minimum of one year prior experience as Administrative Assistant, ideally in a medical or clinical setting
· Experience working with unhoused individuals a plus
· Strong written and verbal communication skills
· Strong time management skills
· Comprehensive knowledge of Windows, Microsoft Word, and Excel required.
· English language skills required; Spanish speaking a plus
HOURS: M – F 9:00 am to 2:00 pm (or as agreed)
Salary: $18.00 – $20.00/hour
PHYSICAL REQUIREMENTS:
· Regularly required to use near sight vision to operate a computer.
· Regularly required to use routine office equipment including a computer and a telephone.
