Qualifications
- Associates degree, or high school diploma or equivalent and four years related experience
- Proficiency in modern business communications including personal computers, electronic mail, voicemail, facsimile and copier equipment
- Proficiency in basic filing principles and standard correspondence formats
- Minimum typing speed of 50 words per minute
Essential Duties and Responsibilities
- Coordinate the activities of various support staff to ensure adequate staffing for answering phones, entering data, copying and mailing of documents, etc.
- Organize students’ files
- Enter student’ information into PTS
- Perform program tracking and record keeping
- Provide general support, outreach, and promotion for the ESOL program
- Perform data entry work
- Ensure activity spaces are ready for programming and have materials needed for activities
- Purchase office supplies and/or equipment, including maintaining appropriate documentation for reconciling invoices in Nexonia (fiscal payment system) in a timely manner.
- Assist with preparing materials, workshop schedule, confirming participants, taking inventory of equipment
- Review invoices for accuracy and forward to fiscal department on a timely basis.
- Maintain data sheets, training logs, office certificates, etc
- Maintain calendar, schedule appointments and arrange meeting rooms.
- Submit monthly progress reports to supervisor.
- Assist with the collection of documents for audits and submission of proposals. Deliver and/or pick up documents to/at BronxWorks offices, funding sources and or other agencies
- Report to, and meet with, supervisor on a weekly basis or as determined
- Perform additional duties as assigned
- Greet program participants and answer participant questions
- Perform additional duties as needed
Physical Requirements
- Ability to use a computer for prolonged periods.
- Ability to occasionally lift and/or move up to 10 pounds.
- Ability to stand, walk, or sit for long periods of time.
- Ability to climb five flights of stairs.
- Ability to bend and retrieve objects and/or documents.
