Job Title: Program Aide 

Supervisor: Program Director 

Job Status: Full Time / 35 hrs per week 

Job Location: Leon OAC / NORC

Hourly Range: $20hr.

Neighborhood Self Help by Older Persons Project (SHOPP) is a non-profit social services agency founded in 1980 serving minority older adults throughout the Bronx.  SHOPP’s mission is based on the philosophy of self-help. We believe that older people are capable of helping themselves and helping others improve their capacity to deal with the physical, emotional, social, and financial challenges they face as they age.  

SHOPP has several service programs in the Bronx that includes Community Care Network Program (CCNP); VIP Elder Abuse Program and Crime Victims; NY Connects of the Bronx; Casa Boricua, Leon, Guess and Soundview Older Adult Centers (OAC); Case Management & Friendly Visiting Program; Caregivers Program and Lafayette Estates NORC Program.     

SHOPP’s staff must be prepared to utilize the agency’s philosophy of self-help and mutual assistance to enable participants to gain and express positive, psychological, and social well-being as an outcome of their involvement in SHOPP programs. SHOPP participants are provided with opportunities to: access benefits and entitlements; serve as volunteers; join planning and support groups; take advantage of training programs, participate in nutritional, educational, recreational and health promotion activities; and participate in community service and leadership development.   

The purpose of Neighborhood SHOPP Older Adult Centers and Community Care Network (OACN) is to provide a community focal point on aging where older persons come together for services and activities that enhance their dignity, support their independence, and encourage their involvement in and with the community.

The Program Aide is responsible for providing clerical and program support to the Older Adult Centers and Care Network staff. Duties include handling telephones, reception area supervision, typing letters and preparing reports, providing Information and Referral (I&R) , data entry in DFTA database system and assisting with program activities. The Program Aide reports directly to the Program Director. The position requires a High School Diploma or equivalent, computer literacy in Microsoft Office application and database systems. Excellent people skills, knowledge of community resources for Information and Referral. Spanish language fluency preferred. 

The Program Aide is specifically responsible for the following tasks:

Clerical:

  • Screen calls.
  • Triage Intake calls.
  • Track program services and prepare reports.
  • Prepare and modify documents including correspondence, reports, drafts, memos and emails.
  • Maintain program’s files and database including DFTA database system.
  • Maintain electronic and hard copy filing system.
  • Open, sort and distribute incoming correspondence.
  • Manage calendar for center and Managing Director.
  • Maintain inventory of office supplies. This includes: completing approved purchased orders, placing orders, receiving and checking purchase items upon delivery and storing supplies which vary in weight up to 20 lbs and may require reaching overhead and utilizing a step stool.   
  • Maintain agency equipment (computers, copiers, fax, etc.) inventory, troubleshoot problems and arrange for service and maintenance on timely basis as needed.
  • Perform heavy filing tasks daily, including pulling and refiling client case records in up to 5 drawer filing cabinet.
  • Restocking office supplies including office printers with reams of copy paper.
  • Schedule and coordinate meetings and appointments.
  • Maintain office supplies for department. 

Direct Service:

  • Provide Information and Referral, assist in member/participant/client registration and enrollment.
  • When necessary provide Telephone Reassurance and Case Assistance as assigned by supervisor.
  • Assist Program Coordinator with center activities and off-site activities and trips.
  • Maintain all Transportation records, ensure compliance as per DFTA standards and schedule appointments and trips.

Other Duties:

  • Supervise and coordinate activities of clerical volunteers.
  • Supervise reception area and reception staff, volunteers.
  • Participate in SHOPP staff training programs, staff meetings, community meetings and other meetings as assigned.
  • Assist in resolving any administrative problems.
  • Run errands such as to post office and office supply store.
  • Be available and willing to perform other tasks as assigned by supervisor.

Requirement:
