Position Summary: The IT Specialist ensures that GrowNYC staff have access to technology that allows them to perform their jobs in the field, in the office, and while working from home. This role will involve analyzing and listening to staff feedback regarding how GrowNYC’s operations are affected and can be improved through technology. The position will involve liaising between senior staff, field staff, and office staff; creating technology priorities; judging whether GrowNYC has the internal capacity to initiate or manage tech projects; writing RFPs or job postings for consultants or contractors; and managing small budgets and work plans for consultants or contractors. This role need not be filled by a technology expert, as organization, project management skills, and communication will be paramount. However, a familiarity with technology is important, as is the willingness to investigate and judge new opportunities.

Responsibilities:

  • Project Management: 
    • Managing relationship with website consultants, including seeking out new volunteers or consultants to manage mobile apps
    • Website updates and overhaul – ability to make simple edits is great; also seeking to have third party site revamp
    • Implementing productivity tools throughout organization
    • Coordinates communication around IT-related special projects, organizing meetings with relevant staff and external consultants as needed;
    • Sets and tracks project milestones; manages and accounts for unforeseen delays, then realigns schedules and expectations as needed;
    • Establishes and implements project communication plans, providing status updates to affected staff and stakeholders.
    • Adheres to project budgets by monitoring expenses and implementing cost-saving measures.
    • Collects, analyzes, and summarizes information and trends as needed to prepare project status reports. As needed, create, or implement internal tracking systems to manage project progress.
  • IT Responsibilities:
    • Collaborate with current in-office IT contractor “F8”
    • Facilitate communication between staff & F8 with day-to-day IT needs
    • Ensures that ticketing system with F8 works efficiently by troubleshooting simple fixes and redirecting tickets for processing
    • Responsible for managing  IT security and data privacy
    • Liaise with HR and department managers to ensure smooth employee onboarding and offboarding
    • Track company owned notebook computers, issue devices to users.
    • Work with F8 to review quotes and order computer equipment.
    • Manage and help optimize mobile phone service vendor, assist users with service and equipment.
    • Proactively communicates all issues to management prior to reaching critical status… before things become a problem, e.g. anticipating program expansion or recommending replacement of aging hardware in a timely manner
    • Supports staff with general IT knowledge, troubleshooting simple fixes, answering questions/requests, ordering/cancelling service, changing plans, ordering hardware, etc.
    • Develops and maintains accurate and complete files for projects and programs; continues to monitor for integrity and completeness.
    • Provides ad hoc reports as requested
    • Recommend best practices and proper IT standards
    • Requesting/reviewing quotes for hardware purchase and managing payment of IT-related vendors (e.g. F8, website consultants, etc.)
    • Provides additional administrative support and other related duties as assigned.
    • Help Transition a workforce that is hybrid from Microsoft to Google, address related questions and help troubleshoot, if needed.

Qualifications:

  • Working knowledge of relevant operating systems such as google workspace, PC/ Mac OS, Vidyard software, Office and programming.

Salary: $65-70k annually
