Court Operations Manager
Position Summary:
Supervised Release offers an alternative to jail, providing pretrial supervision, case management, and voluntary social services to people charged with misdemeanor and non-violent felony offenses. Program participants are monitored to ensure their appearance at court dates, and they receive referrals to community-based programming. Under the Supervised Release Program (SRP), the Court Operations Manager (COM) will be responsible for strategic direction and leadership for overall administrative and site operations, provide support to the Director of Administration. The COM will also oversee and support the Community Engagement Specialist and the Court Receptionist.

Time Management
Arraignment Court can be a fast paced, unpredictable, chaotic environment. The COM is tasked with communicating with court parties, assisting in pulling court information for potential SRP participation and aid the court advocates and supervisors in screening and advocacy. The COM is also responsible for providing administrative support to the Director of Administration. Prioritizing the above is imperative in being able to manage the work and do it effectively.
Communication
The COM must be able to communicate effectively with court stakeholders and internal program staff. The COM must understand the role of each of these stakeholder and how to communicate with all.
Detail Oriented
The COM must pay close attention to detail, as a large number of cases will be expected to be reviewed, entered and managed while working alongside the Community Operations Manager. This attention to detail includes, reviewing data systems to extract necessary and pertinent information for client participation in SRP.
Essential Duties and Responsibilities:
- Responsible with project planning SRP, including, creating policies and procedures, coordinating internal and external meetings to map out the details of the program, and assisting in onboarding and training of new staff, etc.;
- Perform data entry into data management systems for the purpose of tracking meals, clothing, care packages, pantry items, gift cards and group services;
- Compile monthly reports on outcomes;
- Participate in internal chart audits
- Handle coordination and follow-up of all internal and external communication
- Assist with review of quarterly and annual reports
- Take lead on special projects as assigned by Director of Court Operations, Senior Director and VP of Programs
- Writing or typing correspondence, compiling and reviewing reports, filing, copying, and faxing
- Answer telephones and taking accurate messages and provide appropriate referral information as needed
- Order office and program supplies; tracking inventory; processing purchase orders, check requests, petty cash, client and staff cell phone orders and metro cards.
- Organize/maintain office environment in an orderly fashion, including updating all binders, program and administrative forms, supplies, metro cards, petty cash, postage, equipment, etc.
- Assist with the development and implementation of programming special events
- Attend program and agency staff meetings, supervision and in-service trainings; taking minutes, as needed
- Manage the morale in the department by setting and demonstrating a strong business ethic for dealing with employees and stakeholders
- Take on additional responsibilities as needed
Qualifications
Qualifications:
- Bachelor’s degree preferred, preferably in public health, human services, criminal justice, sociology or related field, with a strong background in data management.
- Two years’ experience as coordinator, administrative assistant for senior level staff.
- Strong computer skills and a minimum of two years relevant work experience in data entry, admin, or reporting, preferably in a nonprofit social service setting.
- Strong analytic, administrative, and organizational, file management skills: ability to complete work with precision and accuracy.
- Must be able to communicate professionally and effectively both in writing and oral form with a wide range of people both inside and outside of the organization.
- Ability to work effectively with minimum supervision in a fast-paced, high volume office, and appropriately set priorities and exercise independent judgment.
- Strong computer experience, including experience with Microsoft Word, Excel, SharePoint, and Power Point (Access a plus).
- Initiative, creativity, and a high energy level.
- Experience with quality assurance and/or quality improvement.
- Excellent organizational and time management skills, with the ability to work independently and handle multiple priorities.
- Excellent written and verbal communication skills.
- Ability to build relationships with staff members of all levels.
- Interest in or experience with working with individuals with criminal justice involvement.
Travel Requirements – Will require travel to and from our Bronx office and Court.
Salary: $65-70K
