Description
Position Summary: The Property Management team at Phipps Houses’ Boston Tremont location is looking for a Property and Legal Administrator who can manage both general administrative and legal tasks for the portfolio.
Responsibilities:
- Administrative
- Assist in daily operations; follow up on call center/tenant emails/calls
- Prepare and update key fob information in security system
- Monitor Paint Schedules
- Review incident reports and follow up with tenants/legal/security
- Work with Bookkeeping to correct ledgers
- Prepare & submit correction forms, monitor repayment agreements
- Review monthly receivable reports and prepare recommendations for site management & the retention committee
- Generate and distribute late rent notices
- Coordinate with PN to provide residents in need with assistance
- Prepare lock out notices & input charges
- Manage DNA list
- Process documentation and follow up on collections
- Prepare excel sheets when needed
- Assist with relocation process
- Legal
- Assist tenants as needed with certifications to avoid legal action
- Prepare & submit required information to start legal cases for lease violations as well as non-payment cases
- Monitor legal reports/activity
- Attend court hearings as needed
- Review and process court stipulations
- Generate work orders based on court stipulation & coordinate timely completion
- Review and process legal bills
Qualifications:
- Associates Degree (60 or more college credits) required – Bachelor’s degree preferred.
- Must use Excel and word software effectively
- Experience with Yardi software preferred
- Knowledgeable of city and federal agencies (HPD, DOB, ECB, HDC, HUD), certifications, violations, etc.
- 2 or more years’ experience dealing with tenant/landlord legal in residential rental properties
- Working knowledge of applicable NYS Rent Stabilization regulations, NYC Landlord Tenant Laws, Fair Housing mandates and other legal issues affecting property management.
- Excellent interpersonal and communication skills are required for daily interaction with tenants
- Excellent writing and communication skills
- Knowledge of SiteCompli a plus
- Bi-lingual (Spanish) required
Salary: $60k annually
