POSITION DETAILS:
The aHEO in the Department of Biological Sciences, reporting directly to the Chair will assist the Chair and Deputy Chair in completing all the major administrative departmental functions necessary to ensure the efficient and timely management of hiring and onboarding faculty, addressing student concerns or directing students to the appropriate agent, maintaining departmental communications including the website, preparing budgets for requests and review and performing other duties as necessary to maintain the efficient operation of the department.
Responsibilities include:
- Assisting the chair or deputy chair in completing the class schedule in a timely manner, entering all documentation in the appropriate software, currently CourseDog, revising the schedule as needed, establishing relationships and working with the Registrar’s office and schedulers.
- Assisting the chair or deputy chair in organizing and tracking all faculty hires, ensuring that priority hires, such as 3rd year adjuncts, doctoral students, and Grad As are assigned to classes in a timely manner, using appropriate technology, such as Microsoft Teams or Dropbox to share information and collaborate with the chair or deputy chair.
- Completing all paperwork for onboarding faculty in a timely fashion and working with appropriate offices (HR, NSS dean’s office) to ensure that all paperwork is complete.
- Working with the Chair or Chair’s designee to manage basic office functions including the Chair’s schedule and the department website, communicating with individual faculty to update websites as directed by the Chair or designee.
- Organizing all departmental data in appropriate forms and archives to ensure easy access to minutes, schedules, and reports of the past needed for current operations.
- Assisting the chair in preparing budget reports for annual budget reviews, using word processing, spreadsheet, and presentation software appropriately for such reports, maintains accurate records of fiscal requests and expenditures, and preparing the minutes for departmental meetings.
- Supporting the Director of the Animal Care Facility with required reports and budgeting.
- Supporting the Chair or designee in hiring and onboarding all College Assistants or non-teaching adjuncts for any temporary appointments, including, but not limited to, peer tutoring in classes, grading, or proctoring in large classes. Creating a timetable of requests for resources needed for effective operation of large classes.
- Supporting the Chair or designee in holding Departmental events, include the Basile Lecture, doctoral student orientations, or other Department events.
- Working with other units in the college that support the efficient operation of the Department and completing other appropriate duties as needed.
QUALIFICATIONS:
- Bachelor’s Degree required.
- Two years’ related experience preferred.
- Education in a lab science strongly preferred.
- Experience with Microsoft Office, Microsoft Excel, and demonstrated ability with collaboration or sharing software (Dropbox, Teams) required.
- Candidates will be required to provide proof of being fully vaccinated against COVID-19 upon commencing employment. Exemption (medical or religious) requests to this requirement will be considered in accordance with applicable law. Being fully vaccinated is defined for this purpose as being at least two weeks past their final dose of an authorized COVID-19 vaccine regimen. Final candidates must be fully vaccinated as of their first day of employment.
CUNY TITLE OVERVIEW:
- Provides basic operational and analytical support related to a College’s specialized academic program.
- Supports the directors and managers with orientation preparation, student advisement regarding program requirements, and providing basic information about financial aid and registration
- Manages office records including faculty files; prepares reports and surveys; collects and maintains statistical data on program activities
- Serves as liaison to various College offices to provide service delivery and appropriate referrals to students
- Collects and reviews syllabi to ensure compliance with standards
- Serves as resource person for students and faculty regarding program policies and procedures
- May supervise office operations and/or monitor department budget
- Performs related duties as assigned.
COMPENSATION:
$51,781 -$56,370; salary commensurate with education and experience
