RESPONSIBILITIES

Staffing Management: 

  • Point of contact for staffing management needs for the organization while maintaining confidentiality and integrity
  • Ensure accuracy of job title(s), job code(s), job descriptions while monitoring and updating as needed in applicant tracking system — ADP Workforce Now
  • Conduct day-to-day staffing activities to fill requisitions for all vacancies which includes processing vacancy request forms (VRF), posting vacancies on ADP Workforce Now, and routing jobs to internal and external job boards
  • Track and maintain comprehensive recruitment list of which includes requisitions and status of all new hires
  • Develop and improve the on-boarding process from 0-50% completion from preemployment process to successful completion of New Hire Orientation which includes processing and reviewing new hire packets from hiring managers upon receipt of packet; conducting references checks; and providing candidacy status updates to hiring managers
  • Collaborate with HR Generalists with recruitment efforts for the organization which may include assisting and/or participating in career fairs
  • Process, track, and monitor criminal background check screenings, education credentials, and all clearances and communicate results to hiring managers
  • Ensure all background clearances included but not limited to: State Central Registry (SCR), Staff Exclusion List (SEL), and all pertinent clearances for both Family Shelters and Children & Youth are uploaded to ADP.
  • Coordinate and conduct new hire orientation: confirm NEO schedule with prospective employee; distribute all new hire documents; ensure 1-9 verification and compliance Human Resources Information System:
  • Create ADP profiles for new hires on a weekly basis and ensure accuracy of data entry, i.e., time and attendance, accruals, job location, cost centers etc.

Human Resources Information System: 

  • Participate in training and development session with applicant tracking system: ADP
  • Workforce Now, in addition to, Indeed and CareerBuilder
  • Troubleshoot and utilize generic training opportunities with our external vendors to streamline an efficient and effective recruitment process
  • Maintain the online personnel file in applicant tracking system for employees which may include uploading attaching for each employee for record keeping HR Administrative Support:
  • Maintain and foster candidate experience by way of providing support through the onboarding experience from beginning to end.
  • Assist the HR Department with various administrative tasks including but not limited to, maintaining accuracy with reports and general recruitment support to HR
  • Liaise with HR Assistant for various administrative functions including but not limited to processing additional clearances for prospective employees and creating employee personnel folder; maintaining the filing system; distributing termination letters etc.
  •  Perform additional duties as assigned

HR Administrative Support: 

  • Maintain and foster candidate experience by way of providing support through the onboarding experience from beginning to end.
  • Assist the HR Department with various administrative tasks including but not limited to, maintaining accuracy with reports and general recruitment support to HR

QUALIFICATIONS

  • High School Diploma or equivalent credentials required.
  •  Some experience and knowledge of basic office work.
  • Proficiency in basic filing principles and standard correspondence formats.
  • Engaging personality and detailed orientated skills are essential.
  • Strong oral and written communication, time management and organizational skills are necessary.
  • Proficiency in Microsoft Office suite and other standard business technology is required.

PHYSICAL REQUIREMENTS

  • Must be fully vaccinated against COVID 19
  • Ability to use a computer for prolonged periods.
  • Ability to occasionally lift and/or move up to 10 pounds.
  • Ability to stand, walk, or sit for long periods of time.
  • Ability to bend and retrieve objects and/or documents.
  • Ability to travel in the boroughs of New York City and its adjacent counties via public transportation.
  • Ability to travel for a minimum of 1 mile within a reasonable amount of time and in all types of weather, including inclement weather, if required to conduct home visits and/or field work.
